Writing press releases: It's easy!
Writing a press release does not have to instill panic. This article will tell you how to become a press release pro and get your information in the newspaper.
What do newspapers look for in a press release?
Newspapers look for concise information. They just want the facts that they can quickly skim through and add to their events calendar. If your press release is too long they are likely to toss it in the trash.
Here is how to write your standard press release:
At the top in capital letters type: FOR IMMEDIATE RELEASE
If it is not immediate, give them the release date: FOR RELEASE [date].
Next add your contact information. Include your name, title, organization, phone number and e-mail address. This information is not included in the story but is included if the newspaper needs to contact you for more information.
Write a headline. Make it brief and to the point. Remember, your group name is not the headline. It's the newsworthy event that is the headline.
Write your information. Think from the reader’s perspective as you answer the who, what, when, where, why and how about your event. Remember that you are writing for an audience that is not familiar with special needs so do not add terminology that is confusing for the reader.
At the end of your press release always include a way for the readers to contact you. Include a phone number or e-mail address. Your last line should end with the following: -###-. This is a journalism edit symbol that signals your press release is finished. Here is a sample press release to show you what this would look like:

Find a contact person
The best way to send an email is to fax it to the newspaper. You will want to find out the name of the contact person that receives press releases. Call your local newspaper and tell them you would like to send a press release for a meeting date or community event. Ask who would be the contact person and ask for their fax number. Double check when they need their information. Usually it is two weeks in advance. If you plan to send your press release to several newspapers, keep track of all your contacts and publication due dates.
